Things You Must Have Before Reconciling QuickBooks Accounts

Note: If you’ve already linked your bank or credit card, QBO will eventually enter the starting balance and download transactions for you.

How to Do a Bank Reconciliation in QuickBooks Online

Follow the step-by-step instructions given below to reconcile an account in QuickBooks Online.

Reconcile an account 

  • Select All Apps, click Accounting > Reconcile. 
  • Go to the Reconcile option, and if you are a first-time user, tap on Get Started. 
  • Choose the account that you want to reconcile by clicking the Account drop-down arrow.
  • Check out the Last statement ending date. Verify that your current account statement starts the day after this date.
  • Add the Ending balance and ending date from your account statement.
    • Optional: If you are accessing AI-powered reconciliation, upload the account statement. Wait for the file to upload and be verified.
  • Once done, choose the Start Reconciling option.

Match and clear transactions 

QuickBooks will provide you with a list of your transactions beside the transactions on your account statement. Then, you can match the transactions from both lists.

  • Match the list of transactions in the reconciliation window with your account statement.
  • Tick the checkbox for each transaction in the reconciliation window that matches a transaction on your account statement. This will add them to the reconciliation.
  • Once transactions are selected, the cleared balance will change. Make sure to match the transaction unless the difference turns to $0.00. It indicates that your account is balanced accurately.
  • Click Edit Info to adjust the Ending Balance or ending date if your account isn’t balanced.
  • If you find the difference is $0.00, click Finish Now > Done.

Note: If you have linked a bank account to QuickBooks Online, your transaction info comes directly via bank. In certain cases, your accounts might already be balanced.

Result: 

This shows that your accounts are now reconciled and up to date. Once done, QuickBooks saves a reconciliation report. To review these reports, on the Reconcile Page, choose History by account.

How to Do a Bank Reconciliation in QuickBooks Desktop? 

Here are step-by-step instructions to reconcile a bank account in QuickBooks Desktop.

Prerequisites Required: 

  • Ensure that you have created a backup of the QuickBooks company file.
  • You need a bank or credit card statement. Look for the beginning and ending balances and the statement’s end date.
  • Check the opening balance when reconciling for the first time.

To Reconcile an account in QuickBooks Desktop, follow these step-by-step instructions.

Start your reconciliation 

After getting the bank statement, you can start reconciling.

For reconciling multiple months, begin with the oldest bank statement. You must reconcile each month separately, one statement at a time.

  • Move to the Banking menu and click the Reconcile option.
  • Pick the bank or credit card account you want to reconcile from the Account field.
  • You will see that the Statement Date will automatically be filled. This is mainly 30 or 31 days after the previous reconciliation’s statement date. Confirm that this is the same as the end date on your statement.

  • Click Hide transactions after the statement’s end date to check out the transactions for the statement period you are working on.
  • To reconcile a credit card account, the sections are Charges and Cash Advance (purchases) and Payments and Credits (payments to the credit card company). Concentrate on one at a time to avoid confusion.

    • To find the total number and amount of transactions added for reconciliation, search for the Items you’ve marked cleared section. Many financial institutions deliver the exact summary of transactions on bank statements. Match the total number of transactions to spot whether anything is missing.
    • If you want to edit or get more details regarding a specific transaction, choose the transaction, click Go To, or double-click.
    • To return and make necessary changes to the details you added in Step 3: Start your reconciliation, click Modify. You will see the service charges, interest, and ending balance info shown in the section next to it.
  • Once you reach the end, confirm that the difference between the two should be $0.00. After this, click Reconcile Now.

Results: 

  • QuickBooks will save the completed transaction.
  • It shows that your account is balanced, and the transactions in QuickBooks will match your bank statement.

Next Steps

Once reconciliation is done, click Display to see the reconciliation report or Print to print it.

To review a reconciliation report later on;

  • Click the Reports menu and then hit Reports Center.
  • Locate and then open a previous reconciliation report.
  • Choose the account that you want to reconcile, and click either Detail, Summary, or Both.

How to Reconcile An Account For the First Time

Reconciling an account for the first time in QuickBooks requires one extra step that doesn’t occur in a routine monthly reconciliation, which is checking the opening balance.

Before matching transactions, compare the Opening Balance Equity entry in your account register with the actual balance on the bank statement for the day before you start tracking the account in QuickBooks.

First Step: Prepare to Reconcile

  • Keep all the bank statements for the account and date range you want to reconcile. Admin access is required to make any changes to the reconciliations.
  • Select All Apps > Accounting > Bank Transactions.
  • Confirm that every transaction from the period is matched, categorized, posted, or excluded. For accounts that are linked with online banking, match and categorize all downloaded transactions.

Second Step: Open the Reconcile Discrepancy Report

  • Click All Apps > Accounting > Reconcile. 
  • Choose the account by clicking the Which account do you want to reconcile drop-down menu.
  • Look for the alert stating “Your account isn’t ready to reconcile yet. Your beginning balance is off by…”.

  • Select the “What happened” column to see what changed, when, and who changed it.

  • Only correct a change made in error. Some changes are intentional, whereas the suggested fix assumes an error. If a correction affects a reconciled period or opening balance and you’re not certain, talk to your accountant.
  • If a fix asks you to reconcile an individual transaction, you can mark it as R (Reconciled) in the account register or reconcile the account again using the same ending date and ending balance as your last reconciliation. Both will rectify the beginning balance, but only reconciling again will record the change on a reconciliation report. Fourth Step: Check For Other Changes 

If you see that your report is clear but the balance is still off, it won’t show two kinds of changes there;

  • Deleted and voided transactions 

Choose the Settings menu and click Audit Log. Apply a filter to the account and the period since your last completed reconciliation. Review the audit log for deleted or voided transactions.

  • Transactions reconciled outside of a typical reconciliation 
  • Choose All Apps > Accounting > Charts of Accounts.
  • Now, click View Register for the account you want to review.
  • Apply a filter to the account by Reconcile status. Look for any transaction marked R dated after your last completed reconciliation.

Confirm your balance is fixed

Once you’ve resolved all discrepancies, the Total discrepancy should be $0.00. The adjustments should also match the difference you identified in Step 1. Your beginning balance should now agree with the bank statement, allowing you to proceed with the reconciliation.

How to Undo a Bank Reconciliation in QuickBooks?

To correct a previously reconciled transaction or fix an incorrect reconciliation, you can undo the reconciliation in QuickBooks.

  • Select the Settings icon and click Chart of Accounts.

  • Choose the Reports icon and click Standard Reports.
