It’s late January, your employees are asking for their W-2s, and you can’t remember where QuickBooks keeps them. The steps depend on which payroll product you use: QuickBooks Online Payroll (Workforce), Desktop Payroll Enhanced, or Desktop Payroll Assisted. This guide shows you how to print W-2 and W-3 forms in QuickBooks for each one, what paper to use, how to fix mistakes, and why filing the W-3 and Copy A usually means e-filing instead of mailing paper.

Not sure which one you have? Online users sign in through a browser and see “All apps” in the menu. Desktop users open a program installed on their computer. On desktop, “Process Payroll Forms” under the Employees menu points to Enhanced, while a “b” with “View/Print Forms & W-2s” points to Assisted.
Intuit’s current help article labels the online section “Workforce” while still tagging QuickBooks Online Payroll Core, Premium, and Elite. Both names refer to the same online payroll experience.
Online users, this setting decides your print date and whether QuickBooks files for you. To check it:
Settings > Payroll Settings > Edit (next to Taxes and Forms)
Intuit notes this setting can be changed in January, so check it before you plan your print day.

The date you can print W-2 and W-3 forms in QuickBooks depends on your product. You can’t print before it releases the forms, even if you’re ready in December.

IRS deadline: For tax year 2026, employers must furnish W-2s to employees and file with the SSA by February 1, 2027, because January 31 falls on a Sunday.
Printing is only one step in a year-end sequence. Here is how the pieces line up by product, based on Intuit’s W-2 timing guidance.

Intuit updates these dates each season, so confirm them against its current W-2 timing article before you publish or act on them.
Watch out for guides that give other deadlines. Some list a late-February or March date for W-2s. For W-2s, the furnish and SSA filing deadline is the same day: January 31, or the next business day when it falls on a weekend.
The right paper depends on who the copy is for.
To order, go to QuickBooks Checks & Supplies > Tax Products > Blank W-2 kits. The kits include envelopes, which makes life easier.
Example: Dan’s landscaping company bought 3-part paper because it was cheaper, then found out he’s on Desktop Assisted, which needs 4-part. Check your product before you buy forms and supplies.
A W-2 provides an individual employee’s annual wage and tax information, while a W-3 is the employer’s summary of all W-2 forms submitted to the SSA. Employers prepare both forms, but employees receive the W-2, not the W-3.

The e-file callout: You can print W-2 and W-3 forms in QuickBooks, but that doesn’t mean you should mail them. If you file 10 or more W-2s and other federal forms combined, you must e-file them (per Intuit). The SSA’s W-2 Online service lets you create and e-file up to 50 W-2s at a time, and when you e-file, you don’t send a separate W-3. The IRS instructions also say not to print and file a downloaded Copy A, because it isn’t scannable. A plain-paper QuickBooks printout of Copy A or the W-3 is for your own records and employee replacements, not for mailing to the SSA. Confirm your final filing method with your CPA.
Example: Marcus, an HVAC owner, printed the W-3 and mailed it to each of his 14 technicians along with their W-2s. It confused everyone, and one tech asked whether he owed money. The W-3 never goes to employees. With 14 W-2s, Marcus should have e-filed anyway.

Older guides say “Taxes > Payroll Tax,” but that wording is dated.
Employees who chose paperless won’t print, but they can print their own copy from Workforce. Employees can also view and print W-2s in QuickBooks Workforce after their employer provides access.
Example: Priya (Automated taxes and forms OFF) opens the W-2s page on January 3 and sees that six employees want paper and three chose paperless. She prints six sets, and the three paperless employees grab their own copies from Workforce.
VERDICT: If you can’t find the W-3 under Filings, check Archive or Archived forms and filings before assuming it wasn’t generated.
Employee copies:

Employer copies and W-3:
Payroll taxes > Archive > choose a date range or search > View on the W-2 or W-3 > print icon on the Reader toolbar > Print again
Print a copy of D for your own records while you’re there. If you’re reprinting a lost copy, write REISSUED STATEMENT across the top and include the W-2 instructions.
VERDICT: With Automated taxes and forms ON, QuickBooks files for you. Your only job is getting paper copies to employees who want them and keeping Copy D.
To change how W-2s are delivered:
Print-and-mail carries a fee, and copies go to the mailing address in each employee’s profile. Therefore, it is crucial to confirm those addresses first. To avoid the fee, choose “I’ll print and mail W-2s to my employees,” or invite employees to go paperless. Unless an employee chooses paperless, they still have to receive a paper copy, so don’t skip delivery.
To reprint a copy, use Archive or Archived forms and filings, as in the next section.
VERDICT: Choose your print option early. Waiting until the last week limits your choices.

Example: Tanya’s lender asks for her W-3 from two years ago. She uses Archived forms and filings, picks the date range, and prints it in a couple of minutes.
VERDICT: Old forms live in the archive, not in the current-year list. Set the date range first.
Here is how to print W-2 and W-3 forms in QuickBooks Desktop Payroll Enhanced (the same path applies to Standard). Update QuickBooks and your payroll tax table first. Then:
Reviewed W-2s get a checkmark in the Reviewed column, and a form with no checkmark hasn’t been reviewed yet.
Example: Marcus opens the list and can’t find his W-2/W-3. Before assuming something is broken, he checks whether the federal form is inactive.
VERDICT: Review every W-2 before you submit. A missing checkmark means an unreviewed form.
You can print W-2 and W-3 forms in QuickBooks Desktop Payroll Assisted from January 10. If you chose Intuit Print, you generally only print when an employee has lost or never received the original. Go to Employees > Payroll Center.
Example: A former employee, Carlos, calls in March because his W-2 never arrived. His employer has Intuit Print, so a reprint is the right move, and it takes about two minutes with the steps above.
VERDICT: With Intuit Print, you’re printing exceptions, not every form. If you’re using QuickBooks Assisted Payroll, follow the product-specific payroll guidance before printing your W-2s.
Yes, if you invite them. Employees can view and print their own W-2s for the current year and the previous two years, as long as you used Intuit payroll during that time. Copies B, C, and 2 are typically viewable by January 31. For added security, some employees may be asked to verify a phone number or personal info first.

Employees who elected paperless won’t appear in your print list, but they can print their own copy at any time. If an employee can’t find their W-2 by early February and it hasn’t arrived by mail, they should contact you.
Example: Priya’s cashier, Jess, needs her W-2 for a mortgage application and it’s only January 20. Priya tells her to check Workforce. Jess downloads and prints it that afternoon, and Priya doesn’t have to touch a printer.
VERDICT: An invite to Workforce is the fastest way to cut down on “where’s my W-2?” requests.

Whichever product you use, mark a reprint REISSUED STATEMENT across the top and include a copy of the W-2 instructions.
Example: Carlos loses his W-2, and his employer finds it in Saved filings, prints it, and writes REISSUED STATEMENT on top.
Where is the W-3 in QuickBooks Online? It lives with the other filed forms. Use Archive, or Filings > Resources > Archived forms and filings, choose the date range, and select View on the W-3.
A replacement is not a correction. If the original figures are wrong, don’t reprint. Follow the correction steps in the next section instead.
VERDICT: Reprint a lost W-2. Correct a wrong W-2. They are different jobs.
After you print W-2 and W-3 forms in QuickBooks, you may spot a wrong Social Security number, a missing bonus, or a typo. Reprinting won’t fix it. A correction needs its own forms, called the W-2c and W-3c, and the process depends on your product and on whether the forms have been filed.

Example: Tanya spots a wrong Social Security number on January 20, after the forms were filed. She is on Desktop Enhanced, so she creates a W-2c and W-3c in QuickBooks, prints them on perforated paper, and files them manually with the SSA. She gives the employee the corrected copy.
VERDICT: If the numbers were wrong, reprinting the W-2 just prints the wrong numbers again. Use the correction process.
Rather than printing W-2 and W-3 forms in QuickBooks for mailing, most employers are better off filing electronically, and if you have 10 or more forms, you are required to. Here is where e-filing lives in each product:
Example: Dan has 14 W-2s, so he must e-file. He follows the Online (Automated OFF) path, files Copies A and D through QuickBooks, and prints only Copy D and the employee copies. No W-3 goes in the mail.

Don’t just reprint. If the figures are wrong, a correction (Form W-2c and W-3c) is needed. QuickBooks Online and Desktop Payroll Assisted users request the correction from Intuit, while Desktop Payroll Enhanced users create the W-2c/W-3c in QuickBooks and file it manually with the SSA.
Go to All apps > Payroll > Payroll taxes, then use Archive, or Filings > Resources > Archived forms and filings. Choose the date range, select View on the W-3, and print from the Reader toolbar.
Access depends on your payroll service and its status. If your subscription has lapsed, check Archived forms and filings for older forms, renew the subscription if needed, or contact QuickBooks support before assuming the form is gone.
