QuickBooks Enterprise is Intuit’s most sophisticated desktop accounting product, designed for growing businesses that need more users, more data capacity, and more specialist tools than QuickBooks Pro or Premier can provide.
It’s for businesses of the order of 10 to 100 employees, with multiple people working in the books at the same time, complex inventory and/or a need for a range of specialist reporting.
Scale is the key difference: up to 40 users, over 1 million customers, vendors, and items, and 200+ reports (none of which you can get from standard QuickBooks Desktop). If you’re looking at Intuit QuickBooks Enterprise as an option, this guide will cover what it does, which plan is right for your business, what it costs in 2026, and how it compares to the other QuickBooks products.
QuickBooks Enterprise (also known as QuickBooks Desktop Enterprise) is the top tier of QuickBooks Desktop from Intuit. Choose it if you’re a mid-sized business that’s outgrown QuickBooks Pro and Premier and needs to handle accounting, inventory, payroll, and reporting. Businesses moving beyond Pro or Premier can review this guide to upgrade QuickBooks Pro or Premier to Enterprise. It’s a desktop product, so the software and the company file reside on your own computer or server rather than in a web browser.
Don’t confuse the names. QuickBooks Enterprise is not the same as the Intuit Enterprise Suite. The Intuit Enterprise Suite is a completely different, newer cloud product for larger mid-market companies. This guide is specifically about QuickBooks Desktop Enterprise.
QuickBooks Desktop Enterprise is a subscription (not a one-off purchase). Silver, Gold, and Platinum are annual subscriptions. Diamond is a monthly subscription. The subscription includes software updates and access to Intuit’s Priority Circle support. The subscription must remain active for features such as payroll, payments, and online banking to keep working.
QuickBooks Enterprise is a great fit for some businesses and complete overkill for others. Here’s a look at both sides.
| Your business type | Why Enterprise fits |
| 10–100 employees, growing fast | You are hitting the 3-user limit of Pro or the 5-user limit of Premier and need more people working in the file at once. |
| Inventory-heavy operations | Manufacturers, wholesalers, and distributors who need barcode scanning, FIFO costing, and multi-location stock tracking. |
| Construction and contractors | The Contractor edition includes job costing, project profitability, and subcontractor management. |
| Nonprofits | Fund tracking, donor management, and Form 990 reporting are available in the Nonprofit edition. |
| Professional services firms | Billable time, project costing, and client-level reporting. |
| Retail businesses | Inventory scanning, advanced pricing rules, and sales order management. |
| Multi-location operations | Consolidated reporting and the ability to manage multiple company files under one subscription. |
If you’ve got fewer than 5 users, fairly basic inventory requirements, and straightforward accounting then QuickBooks Pro or Premier will be quite adequate and are by far the cheaper option. Neither Pro nor Premier are any longer available to new customers, so if you’re a new customer and don’t have the scale of users/data/reporting that would require Enterprise, then you should be looking at QuickBooks Online. QuickBooks Online is also the way to go if you want to access your data from any browser without setting up hosting. Enterprise is only worth the price if your data volume, number of users, or level of reporting is such that you actually need it.
QuickBooks Desktop Enterprise comes with various advanced capabilities.
QuickBooks Enterprise Desktop sees inventory as a real strength, and that’s where it really sets it apart from Pro and Premier.
If you are having trouble setting up or accessing a company file with multiple users, see this guide to QuickBooks Multi-User Mode for common access and configuration issues.
Industry editions aren’t separate products with separate pricing. They’re versions of QuickBooks Enterprise which come with pre-built reports, workflows, and lists for a particular type of business.
| Edition | Built for | What it adds over standard Enterprise |
| Contractor | Construction firms, general contractors, subcontractors | Job costing by project, subcontractor management, change order tracking, AIA-style progress billing |
| Manufacturing & Wholesale | Manufacturers, wholesalers, distributors | Bill of materials, work orders, item receipts, barcode scanning (Advanced Inventory required) |
| Nonprofit | Charities, foundations, associations | Fund tracking, donor management, Form 990 reporting, grant tracking |
| Professional Services | Consultants, agencies, engineers | Billable time tracking, project profitability, client-level reporting |
| Retail | Stores with physical product inventory | Inventory scanning, sales order management, advanced pricing, customer price levels |
| Accountant | Accounting firms managing multiple client files | Batch reclassify transactions, write off invoices, Accountant Toolbox, client data review tools |
If your industry isn’t one of those specifically listed, then the standard QuickBooks Enterprise plan will contain all the core features and is quite adequate for the majority of business types. The industry editions simply add in the industry-specific reports and workflows.
QuickBooks Enterprise is subscription-only (no one-off purchase). Silver, Gold, and Platinum are all annual. Diamond is monthly with no annual option. The table below shows the list prices for one user as published by Intuit and checked in October 2026. Intuit changes prices from time to time and runs promotions, so it’s always worth checking the current prices at quickbooks.intuit.com before purchasing.

A note on QuickBooks Enterprise Silver
QuickBooks Enterprise Silver is the entry-level, is still referenced in Intuit’s own help content, and is available through authorized resellers. Intuit’s online pricing page, however, now lists Gold, Platinum, and Diamond as the primary offerings. If Silver is relevant to your budget, check with Intuit or an authorized reseller to confirm it’s available for your circumstances before you go any further.
Silver is ideal for businesses that are already using a third party for their payroll and simply want the core Enterprise features at the most competitive entry price. It’s got the large data capacity, 200-plus reports, and multi-user access without any payroll functionality.
Gold is ideal for businesses that want in-house payroll bundled with Enterprise and don’t need the more sophisticated inventory and pricing rules the higher-tier options provide. It’s a good solution for a service business or a fairly straightforward operation that has moved beyond Premier.
Platinum is ideal for manufacturers, distributors, and retailers with complex inventory. It includes barcode scanning, FIFO costing, bin tracking, pricing automation, and approval workflows.
Diamond is for the larger operations (up to 40 users), Assisted Payroll (where Intuit files your payroll taxes), QuickBooks Time Elite (time tracking), and the Salesforce CRM connector.
Gold and Platinum payroll is billed per employee per month, with the rate decreasing as your headcount increases. Diamond Assisted Payroll is billed separately by Intuit. Given the changes to payroll rules in 2026, you’ll need to work out your total annual cost (base subscription, additional users, payroll and any add-ons) before selecting a plan. QuickBooks Time Elite on Diamond is billed per employee.
The subscription price is only part of the bill. Plan for:
By default, QuickBooks Desktop Enterprise runs on a computer or server in your office. QuickBooks Enterprise hosting means an Intuit-authorized partner installs it. It runs the software on remote servers, and you connect to it from any device via a remote desktop connection or browser.
Keep your Enterprise subscription and add on a hosting plan from an Intuit-authorized provider. Intuit lists its authorized hosting partners on its website. Intuit also sells Enterprise with remote access as part of some of their plans, so compare that price to a separate hosting plan.
Third-party hosting is generally in the region of $30 to $75 per user per month depending on the provider, the resources, and the plan. They vary, so get the quotes directly.
Hosted Enterprise is still desktop software running on a remote server. The features, interface, and data file are the same as a local installation. QuickBooks Online is a completely different cloud product with a different set of features and different data limits. So when people ask, “Is QuickBooks Enterprise online or desktop?” The answer is desktop (although it can be accessed via the cloud). Searches for ‘QuickBooks Desktop Enterprise online’ are almost always about the hosting option.
On 30th September 2024, Intuit stopped selling new QuickBooks Desktop Pro Plus, Premier Plus and Mac Plus subscriptions to new customers in the US. Existing customers can of course still renew, but Enterprise is now the only Desktop version available to anyone new to QuickBooks Desktop.
| Feature | Pro | Premier | Enterprise | QuickBooks Online |
| Max users | 3 | 5 | 30 (40 on Diamond) | 5 to 25 depending on plan |
| Data capacity | Small | Medium | 1M+ names and items | Cloud-based, with list limits |
| Inventory | Basic | Basic | Advanced (Platinum and Diamond) | Basic to moderate |
| Job costing | Limited | Yes | Full job costing | Limited |
| Industry editions | No | Yes | Yes | No |
| Payroll | Add-on | Add-on | Included (Gold and above) | Add-on |
| Access | Desktop only | Desktop only | Desktop, or hosted | Any browser |
| Available to new buyers | No | No | Yes | Yes |
This is the answer to the perennial “QuickBooks Enterprise vs Pro” question. Pro and Premier are constrained by both user count and data size, whereas Enterprise can scale massively beyond them. New customers have to pick between Enterprise and QuickBooks Online.
If you’re comparing QuickBooks Online to the Intuit Enterprise Suite, keep in mind they’re different. QB Online is Intuit’s mainstream cloud product for the small business market. The Intuit Enterprise Suite is a cloud platform for the larger mid-market. It’s not the same as QuickBooks Desktop Enterprise.
If you need access from any browser without hosting requirements, QuickBooks Online is worth a look, even though its feature set and limitations differ significantly from Enterprise.
Check the specs against Intuit’s current QuickBooks Desktop Enterprise technical specs as you consider a purchase, as requirements differ by release.
| Requirement | Minimum spec |
| Client operating system | Windows 10 or Windows 11 (64-bit). Windows 8.1, Windows 10 S mode, and Linux are not supported. |
| Server operating system | Windows Server 2016, 2019, or 2022 |
| Processor | 2.4 GHz |
| Client RAM | 8 GB minimum, 16 GB recommended |
| Server RAM (multi-user) | 8 GB for 5 users, 12 GB for 10 users, 16 GB for 15 users, 20 GB for 20+ users |
| Disk space | 2.5 GB for installation plus space for company files. An SSD is recommended. |
| Screen resolution | Optimized for 1280×1024 or higher |
| Internet | Required for subscriptions, payroll, payments, and online banking features |
| Multi-user setup | QuickBooks Database Server Manager installed on the computer that hosts the company file |
For cloud-hosted Enterprise, the local requirements are quite low. Most devices with a good internet connection will work, since the software runs on the provider’s servers rather than your local machine.
The vast majority of Enterprise problems fall into a very small number of categories. Intuit’s free QuickBooks Tool Hub contains several of the repair tools listed below in a single download.
| Error or issue | Likely cause | Fix or resource |
| Cannot open company file | File path changed, network problem, or multi-user conflict | Run QuickBooks File Doctor from the Tool Hub. |
| Multi-user mode not working | Database Server Manager not running, or firewall blocking QuickBooks | Restart QuickBooks Database Server Manager, rescan your company file folder, and check firewall ports |
| Payroll update error (PS036) | Payroll subscription inactive or not verified with Intuit | Confirm your payroll subscription is active, then run a manual payroll update |
| Slow performance or freezing | Too many users, a large company file, or too little RAM | Run Verify and Rebuild Data, condense old transactions, or upgrade RAM and move to an SSD |
| Installation errors | Incomplete install or conflicting software | Run QuickBooks Install Diagnostic Tool from the Tool Hub. |
| Printing or PDF errors | Damaged or missing PDF component | Run the PDF & Print Repair Tool in the Tool Hub. |
| H202 multi-user error | Firewall or hosting settings blocking communication with the server | If Enterprise cannot communicate properly across the network, check whether Windows Firewall is blocking QuickBooks and preventing the required connections. |
Before you run any repair, back up your company file.
Here’s how you can download and set up QuickBooks Enterprise in a few simple steps.
Go to quickbooks.intuit.com, select your edition, number of users, and billing cycle.
Intuit will email you a QuickBooks Enterprise download link after you’ve purchased it, and you can also find it in your Intuit account.
Run the installer, accept the license agreement, and enter your license number and product number. Choose Express or Custom and Network Options. If you’re going to be using it in a multi-user environment, then select the option that allows you to share the company file over the network and install it on the server/host computer.
Use the EasyStep Interview to input your business details, fiscal year, and chart of accounts.
Import your existing data. If you’re coming from Pro, Premier, or QuickBooks Online, then use Intuit’s built-in conversion tools or import from Excel or Quicken where available.
For multi-user installations, the company-file host may need QuickBooks Database Server Manager configured correctly so other workstations can access the company file.
If you’re moving from an older version, then upgrade a copy of your file first and keep a backup. Running QuickBooks Desktop Enterprise 2026 or the current release requires the system specs listed above.
| Your situation | Best choice |
| You already use a third-party payroll provider and want the lowest entry cost | Silver, if available to you: core Enterprise features, no payroll |
| You want payroll included without advanced inventory | Gold: Enhanced Payroll bundled, solid for standard accounting |
| You manage stock across locations, use barcodes, or need pricing automation | Platinum: Advanced Inventory and Advanced Pricing included |
| You need 40 users, Intuit to file your payroll taxes, time tracking, or CRM integration | Diamond: the most comprehensive tier, billed monthly |
| Your team works remotely or from several offices | Any edition plus cloud hosting from an Intuit-authorized provider |
| You have fewer than 5 users and basic accounting needs | QuickBooks Pro or Premier (existing subscribers) or QuickBooks Online for new buyers |
Still not sure? Make a list of your user count, inventory requirements, and payroll setup, then get a quote from Intuit or an authorized ProAdvisor for your exact configuration.

“QuickBooks” is Intuit’s entire range of accounting products. QuickBooks Enterprise is the flagship desktop product. It’s the version that supports the most users (up to 30 or 40), handles the largest volumes of data, has the most sophisticated inventory capabilities, and offers industry editions. It’s the product for the mid-sized business with a complex operation. The other products (Pro, Premier, and Online) are for smaller businesses with simpler requirements.
For one customer, the list prices are c. $1,873/year for Silver, $2,210 for Gold, and $2,717 for Platinum. Diamond is priced monthly at c. $447/month. Costs increase with more users, payroll, and add-ons, and Intuit periodically reviews and updates pricing, so it’s worth checking the current pricing at quickbooks.intuit.com or requesting a quote for your headcount.
Yes. Intuit ceased selling new Pro Plus, Premier Plus, and Mac Plus subscriptions to new U.S. customers as of 30th September 2024. QuickBooks Desktop Enterprise is the only Desktop version now available to new customers. Intuit releases new versions regularly, and older versions will eventually reach end of life, so you should keep your software up to date.
Intuit QuickBooks Enterprise is the most advanced version of QuickBooks Desktop, designed for growing businesses. It supports up to 30 or 40 users (multi-user), has extensive inventory and pricing capabilities, 200+ reports, job costing, optional payroll, and a range of industry editions. It is sold on a subscription basis and runs on Windows either on your own PC/server or via an authorized cloud hosting provider.
QuickBooks Enterprise is desktop software. It runs by default on your own Windows computer or server. You can access it remotely by adding a hosting plan from an Intuit-authorized provider who will run the same desktop software on remote servers. That contrasts with QuickBooks Online, a separate cloud product with its own features and interface, accessed via a web browser.
QuickBooks Enterprise is desktop software with full-blown inventory, job costing, and reporting for more complex businesses. QuickBooks Online is the cloud product you access via a browser from anywhere, with simpler setup and automatic updates. Enterprise has the greater data capacity and industry editions; Online has the greater focus on remote access and integrations. If browser access is your thing, then go with QuickBooks Online. If you need full inventory and scale, then Enterprise is the way to go.
No. QuickBooks Enterprise is subscription-only. Silver, Gold, and Platinum are annual; Diamond is monthly. Intuit doesn’t sell perpetual licenses to new customers anymore. Your subscription includes software updates and support, and the various features (payroll, payments, online banking, etc.) are only available while your subscription is active. If you cease to pay, you can generally still open your company file, but you lose access to the features and updates.
